Who we are

BidServe provides tender discovery, qualification and bid management software. For the account and marketing data described here we act as data controller. For the content you upload into your workspace we act as data processor on your organisation's instructions.

Data we process

We keep the categories of data to the minimum needed to run the service.

  • Account data: name, business email, telephone number, role and authentication records
  • Organisation data: company details, registration numbers, accreditations, insurance and financial bands
  • Content you upload: policies, case studies, CVs, certificates and bid drafts
  • Usage data: pages viewed, searches, saved and declined opportunities, and decisions recorded
  • Communications: enquiries, support requests and notification delivery records

Why we process it

  • To provide the service under our contract with you
  • To match opportunities to your profile and produce assessments
  • To send notifications you have configured
  • To secure the platform, investigate incidents and keep audit logs
  • To meet legal, tax and accounting obligations
  • With your consent, to send marketing you can withdraw at any time

AI processing

Assessments are produced by AI agents operating on your organisation's data and the tender documents concerned. Your confidential content is never used to answer for another customer, and is not used to train third-party foundation models.

Sharing

We share data with processors that host, secure, email, message and bill on our behalf, each under a written agreement. Partner introductions in the marketplace only happen with your explicit permission.

Retention

Account and workspace data is retained for the life of your subscription and for a defined period afterwards, configurable for enterprise customers. Audit logs are retained for security and compliance purposes.

Your rights

  • Access, rectification and erasure
  • Restriction and objection
  • Data portability and export
  • Withdrawal of consent
  • Complaint to the Information Commissioner's Office
